Balance replenishment will open after you create a company in the service and sign a contract with EasyStaff. You can top up your balance  by bank transfer, bank card or crypto transfer.

In your personal account, go to the Operations tab, click on the Add funds button.

In the form that opens, select the company whose balance the funds should be credited to, and proceed to replenishment.

To make a payment, please navigate to Operations → Add funds and generate an invoice.

When sending the payment, please use the exact Payment Purpose as shown on the generated invoice.

Note: If you are sending the payment through a payment system or bank that has a character limit in the Reference field (for example, Wise), please enter only the invoice number ES######.

Terms and procedure for crediting payments:

We typically receive bank transfers within 3-5 business days, excluding the day of sending. If the reference number, currency, and amount of the incoming payment match the invoice details, the funds will be credited to your balance automatically upon receipt by our bank. You will receive an automatic email notification.

Important: If the payment is not credited automatically, our finance team will process it manually during business hours (Monday–Friday, 9:00 AM to 6:00 PM UTC+3).

Your bank may charge a fee for a SWIFT transfer. When money is in transit, correspondent banks may also charge additional payment processing fees.
There are basically 3 variants of SWIFT-transfers:

  • OUR — the sender pays all commissions
  • SHA — the sender pays only their bank’s commission and the recipient covers all other expenses
  • BEN — the recipient pays all expenses

Please choose OUR to make sure your bank will cover any fees associated with the payment so that we can receive the full amount of your transfer. This is called an “OUR” SWIFT transfer.

The deadline has passed and payment has not been received?

If you use payment services such as Airwallex, Payoneer and other that do not allow us to identify the sender, always notify us of a deposit by attaching payment confirmation. In other cases, this information is usually not required.

If the payment is not received within 5 business days, please send us payment confirmation. We will check if your payment has been received but unallocated.

If more than 5 working days have passed, excluding the day of dispatch, and the payment has not been credited, send us an MT103 form and we’ll send it to our bank for searching.

If we do not receive a reply on the status of the payment even in this case, ask your bank for a GPI tracker (aka UETR, universal SWIFT transfer identifier, format: XXXXXXXXXXXXXX-XXXXXX-XXXX-XXXX-XXXXXXXXXXXXXXXXXXXX). This way you will see what step your payment is at.

To avoid cases of fraud, replenishing your balance with a bank card is only available after passing verification.

Contact your EasyStaff Payroll manager to receive a list of documents required to activate replenishment of your balance with a bank card.

What to pay attention to

Your company will be charged 10% for each task if you top up your balance with a bank card.

If after clicking the Add funds button you do not see the form for entering card data, contact your manager or apply to the online chat on the website. Perhaps your tariff does not include the use of the card.

How to top up your balance by card:

Go to the Operations tab, click the button Add funds. Select the company whose balance the funds should be credited to.

Enter the amount in the Funding amount line and the replenishment currency in the Funding currency line.

Click Save and proceed to payment.
Funds will be credited within 10 minutes.

If you closed the payment window before making a payment, you can return to it from your personal account.

In the Operations section there will be a pending payment and a Payment link.

CRYPTO TRANSFER

TOPPING UP YOUR BALANCE
BY CRYPTO TRANSFER

In EasyStaff Payroll you can top up your company balance with a crypto transfer.

To activate this option, please contact your personal EasyStaff Payroll manager or email us at hi@easystaff.io.

  • When you have an agreement with EasyStaff UAB (Lithuania), you can make payments in TRC-20 (USDT) and ERC-20 (USDT/USDC) networks.
  • In all other cases, only TRC-20 (USDT) payments are available.

Verifying a cryptocurrency wallet on first top-up:

1. Go to the Operations tab, click the Add funds button. Select the company whose balance should be credited.

2. In the Funding currency field, specify the top-up currency. We credit USDT/USDC at a 1:1 ratio to USD.

3. If you use a non-custodial wallet:
In the Wallet address field, enter the address of the crypto wallet from which payments are planned. Then send 10 USDT to the address shown in your EasyStaff Payroll personal account — this is required to verify the wallet.

If the payment is made from an exchange, first send 10 USDT. Then go to your transaction history, open the relevant transaction, and copy the sender’s address from the transaction hash. Enter this address in the Wallet address field. Please note: for subsequent transfers from the exchange, the sender’s address may change. Please track the current address in your exchange account and update it in the system if necessary. If this option is not suitable for you, then contact your manager or email hi@easystaff.io to suggest an alternative.

4. Additionally, please attach a screenshot from your personal account confirming the 10 USDT transaction and containing the (partial) transaction hash. Please note that screenshots from Tronscan or any other blockchain explorer are not accepted.

5. Click Save and wait for the verification to complete. Verification is conducted manually by the finance department within 24 hours during business hours, Monday to Friday, 9:00 AM to 6:00 PM (UTC+3). You will receive a notification once your cryptocurrency wallet has been either verified or declined.

Making a cryptocurrency payment after verification:
After successful verification, you can initiate a top-up in the Operations —> Add Funds section. Select the wallet with the Approved status and make a payment to the specified address.

Enter the sent amount in the Funding amount field and the transaction hash in the Transaction hash field. Then click Save. The finance department will credit the payment within 3 hours during business hours, Monday to Friday, 9:00 AM to 6:00 PM (UTC+3).

If the payment is made from an exchange, you may receive an additional request to provide a screenshot. This screenshot must show the amount of the current deposit and include the (partial) transaction hash. Please note that screenshots from Tronscan or other blockchain explorers are not accepted.

Status Declined:
If your address cannot be verified, you will receive a notification email regarding the rejection. To check the reason, go to Operation → Add funds, find the crypto address you provided for verification, and hover over the Declined label. Please review the details and complete the verification process again.

Please note: The 10 USDT you deposited will either be credited to your company’s balance after another wallet is approved, or refunded upon your request if a suitable wallet cannot be provided.
